The Ringover + RecruiterFlow integration connects your calls, SMS messages, WhatsApp conversations and Ringover Meetings with your recruitment records. In this guide, you’ll learn how to prepare RecruiterFlow, activate the integration, configure activity logging and verify that it works.

How to integrate Ringover with RecruiterFlow

1. Prepare RecruiterFlow

Request your API key and create the custom activities that Ringover will use to log communications.

1. Log in to your RecruiterFlow account.
2. Open Help / Support from the support chat or the Support menu.
3. Ask the RecruiterFlow support team to generate an API key for your organisation’s Ringover integration.
4. Store the API key securely when you receive it.

Create custom activities

1. Click the Settings icon.
2. Click Custom Activities in the left-hand menu.
3. Click Add Activity.
4. Create one activity for Ringover calls.
5. Create one activity for Ringover SMS messages.
6. Create one activity for Ringover WhatsApp messages.

2. Activate the integration in Ringover

Connect RecruiterFlow from the Ringover Dashboard with the API key supplied by RecruiterFlow.

1. Go to the Integrations page.
2. Search for RecruiterFlow.
3. Enter your RecruiterFlow API key.
4. Click Activate.

3. Configure communication logging

Open the RecruiterFlow integration panel and choose what Ringover logs in RecruiterFlow.

1. Stay on the Integrations page.
2. Click RecruiterFlow.
3. Configure each setting required by your organisation.

1. Call types: Click Manage call types to choose which call types are logged in RecruiterFlow.
2. Include recordings in call logs: Choose whether call logs include all files, recordings, voicemails or no files.
3. Restrict access to recordings: Enable this option to restrict access to recordings included in call logs.
4. Phone numbers: Select the Ringover phone numbers whose calls are included in the integration.
5. SMS messaging numbers: Select the Ringover numbers whose SMS messages are included in the integration.
6. Group SMS conversations by: Choose whether SMS messages are grouped by day, as a full conversation or not grouped.
7. Link users with an account: Click Manage users to link each Ringover user with a RecruiterFlow account.
8. Assign missed IVR calls to: Select the user who receives missed IVR call activities.
9. Log internal calls: Enable this option to log calls between Ringover users.
10. Include Empower summaries and transcripts in call logs: Enable this option to add Empower summaries and transcript links to call activities.
11. Log Empower meeting summaries: Enable this option to log Empower summaries for Ringover Meetings.
12. Include scenario name in call logs (for incoming IVR calls): Enable this option to include the active IVR scenario name in incoming call logs.
13. Logs display language: Select the language used for automated log text.

Select the RecruiterFlow custom activity used for each communication type and record type.

14. Incoming call: Select the custom activity used to log incoming calls on Contact records.
15. Outgoing call: Select the custom activity used to log outgoing calls on Contact records.
16. SMS conversation: Select the custom activity used to log SMS conversations on Contact records.
17. WhatsApp conversation: Select the custom activity used to log WhatsApp conversations on Contact records.
18. Meeting Ringover: Select the custom activity used to log Ringover Meetings on Contact records.
19. Incoming call: Select the custom activity used to log incoming calls on Candidate records.
20. Outgoing call: Select the custom activity used to log outgoing calls on Candidate records.
21. SMS conversation: Select the custom activity used to log SMS conversations on Candidate records.
22. WhatsApp conversation: Select the custom activity used to log WhatsApp conversations on Candidate records.
23. Meeting Ringover: Select the custom activity used to log Ringover Meetings on Candidate records.
24. Incoming call: Select the custom activity used to log incoming calls on Company records.
25. Outgoing call: Select the custom activity used to log outgoing calls on Company records.
26. SMS conversation: Select the custom activity used to log SMS conversations on Company records.
27. WhatsApp conversation: Select the custom activity used to log WhatsApp conversations on Company records.
28. Meeting Ringover: Select the custom activity used to log Ringover Meetings on Company records.
29. Timezones: Select the timezone used for dates in logged RecruiterFlow activities.

4. Configure contact handling and test the integration

Choose how RecruiterFlow contacts are created, synchronised and displayed in Ringover.

30. Log WhatsApp messages: Enable this option to log WhatsApp messages in RecruiterFlow.
31. Create contact for calls: Choose which call scenarios create a RecruiterFlow contact when Ringover cannot find a matching record, or select No contact page created.
32. Create contact for SMS messages: Choose whether SMS messages can create a RecruiterFlow contact when no matching record exists.
33. Create contact for WhatsApp messages: Enable this option to create a RecruiterFlow contact from WhatsApp messages when no matching record exists.
34. Sync contacts (v4): Enable this option to synchronise your RecruiterFlow contacts with Ringover.
35. Sync contacts on a call-by-call basis: Enable this option to synchronise contact information when a call is made.
36. Display contact's info during call and only store their info if call-by-call basis is activated: Enable this option to display contact information in the dialler during a call without permanently storing it unless call-by-call synchronisation is active.
37. Mapped fields: Click Add or edit fields to choose which RecruiterFlow fields appear in the Info section of the dialler.

Finish the setup by mapping users and checking the requirements for recordings and click-to-call.

1. Click Manage users.
2. Link each Ringover user with the corresponding RecruiterFlow account.
3. Enable call recording in the Dashboard user settings for users who need recording links, transcript links and summaries in their activities.
4. Install the Ringover click-to-call extension in your browser.
5. Click a candidate’s highlighted phone number in RecruiterFlow.
6. Place a test call with Ringover.
7. Open the candidate record in RecruiterFlow.
8. Confirm that the call appears as an activity.
