SuperOffice is a CRM platform that helps businesses manage customer relationships, sales activities, and follow-up. The Ringover + SuperOffice integration brings your communications into SuperOffice so your teams can identify contacts quickly and keep every interaction in the right customer record.
The Ringover + SuperOffice integration allows you to:
- Make calls from SuperOffice using the Ringover Chrome extension (click-to-call).
- Identify a SuperOffice contact by phone number during incoming and outgoing calls.
- Open the corresponding SuperOffice record directly from the Ringover Dialer.
- Log incoming, outgoing, and missed calls as activities in SuperOffice.
- Log SMS and WhatsApp messages and Empower Meet meetings in the relevant contact record.
- Synchronise contacts globally or when they interact with your team.
- Enrich call activities with notes, tags, recordings, and Empower summaries when available.
Prerequisites
Before activating the integration, make sure that:
- Ringover account: you have a Business or Advanced plan and administrator access to the Ringover Dashboard.
- SuperOffice account: you have access to the SuperOffice tenant you want to connect and permission to authorise third-party applications.
- User accounts: the users you want to map have an account in both Ringover and SuperOffice.
How to integrate Ringover with SuperOffice
I. Enable the integration from Ringover
- Log in to your Ringover Dashboard.
- Go to Integrations.
- Search for SuperOffice and click its icon.
- Click Activate.
- Sign in to SuperOffice in the window that opens, select the appropriate tenant if requested, and authorise Ringover to access it.
Once authorisation is complete, you are redirected to Ringover. The integration retrieves the SuperOffice users required for user mapping.
II. Configure your settings
From the Integrations page, click SuperOffice to open the configuration panel. Use the numbered settings below to choose which communications and data Ringover logs and synchronises.
- Call types: select Manage call types to choose which incoming, outgoing, missed, or other supported call types are logged in SuperOffice.
- Include recordings in call logs: choose which audio files are included in call activities: all files, recordings, voicemails, or none.
- Restrict access to recordings: limit access to recordings to users who have an active Ringover licence.
- Phone numbers: select the Ringover phone numbers whose calls are included in the integration.
- SMS messaging numbers: select the Ringover numbers whose SMS messages are included in the integration.
- Group SMS conversations by: choose whether messages are grouped by day, as a full conversation, or not grouped.
- Link users with an account: match each Ringover user with the corresponding SuperOffice account.
- Assign missed IVR calls to: select the SuperOffice user to whom missed IVR calls are assigned.
- Log internal calls: log calls made between Ringover users as activities in SuperOffice.
- Include Empower summaries and transcripts in call logs: add available Empower summaries and transcript links to SuperOffice call activities.
- Log Empower meeting summaries: add available Empower Meet summaries to the corresponding SuperOffice activities.
- Include scenario name in call logs (for incoming IVR calls): add the Ringover IVR scenario name to incoming call activities.
- Logs display language: select the language used for automatically generated activity text.
- Log WhatsApp messages: log supported WhatsApp messages in SuperOffice.
- Create contact for calls: choose which call types can create a new SuperOffice contact when no matching contact exists, or disable contact creation.
- Create contact for SMS messages: choose which SMS message directions can create a new SuperOffice contact when no matching contact exists, or disable contact creation.
- Create contact for WhatsApp messages: create a SuperOffice contact for supported WhatsApp messages when no matching contact exists.
- Sync contacts (v4): enable global synchronisation of new and updated SuperOffice contacts with Ringover. Select Display the last 10 logs to review the latest synchronisation logs.
- Sync contacts on a call-by-call basis: synchronise a contact when you call them or when they call you.
- Display contact's info during call and only store their info if call-by-call basis is activated: display matching SuperOffice contact details during a call and store them in Ringover only when call-by-call synchronisation is enabled.
- Mapped fields: select the SuperOffice fields to display in the Info section of the Ringover Dialer.
1. Complete your user mapping
Click + Manage users.
Match each SuperOffice user with the corresponding Ringover user. When requested, select the Ringover number assigned to that user. This mapping ensures that calls, messages, meetings, and other activities are attributed to the correct team member.
If a user is added, removed, or updated in either platform, review the mapping and save it again. After reconnecting the integration, check the suggested matches before saving.
2. Enable contact search and synchronisation
Choose how Ringover searches for and synchronises your SuperOffice contacts:
- Global synchronisation: Ringover periodically imports new and updated SuperOffice contacts.
- Call-by-call synchronisation: Ringover synchronises a contact when you call them or when they call you.
- Direct search: Ringover searches SuperOffice for a contact that matches the phone number so the correct record can be displayed during the interaction.
Select the options that fit your workflow, then save your settings. Contact details available in Ringover depend on the data stored in SuperOffice and the synchronisation mode you enable.
3. Map Ringover activities to SuperOffice task types
In the Task Types section, select the SuperOffice task type that should be associated with each Ringover activity.
You can configure a task type for activities such as incoming calls, outgoing calls, missed calls, SMS messages, WhatsApp messages, and Empower Meet meetings. The available task types are retrieved from your SuperOffice configuration.
Once the mapping has been saved, Ringover automatically logs each communication in SuperOffice using the task type associated with that activity. For example, an incoming call will automatically be logged using the SuperOffice task type selected for Incoming call.
If your SuperOffice task types are changed, return to the integration settings, review the mappings, and save them again.
4. Enable recordings and post-call data
- In the Ringover Dashboard user settings, enable call recording if you want to include data that depends on it.
- In the SuperOffice integration settings, enable the post-call information you want to add to activities.
Depending on the features enabled for your Ringover account and the data available for the interaction, SuperOffice activities can include notes, tags, the call recording, and an Empower summary.
Check the connection
The Ringover Dashboard shows whether the SuperOffice integration is connected or disconnected. If you need to reconnect it, open the integration, authorise Ringover in SuperOffice again, then review the user mapping and settings before saving.
To test the integration:
- Make or receive a call using a number stored on a SuperOffice contact.
- Check that Ringover identifies the correct contact.
- Confirm that the activity appears in the contact's SuperOffice record with the expected direction, user, task type, date, and post-call information.
You are now ready to use Ringover with SuperOffice. Install the Ringover click-to-call extension to make calls directly from SuperOffice.
