User roles and dashboard access allow you to control what each team member can see and do within your account. In this guide, you’ll learn how to grant specific rights and assign the perfect role to each user to maintain data security.
Assign and manage user roles
1. Access the Dashboard access section
Start by navigating to your user settings to begin assigning permissions.
- Go to your users page 💻.
- Select the user to whom you wish to grant rights.
- Go to the “Dashboard Access” section.
Groups & IVRs
Select groups in your "Dashboard Access"
- A Group is a collection of users that allows incoming calls to be distributed to the most appropriate team members.
- Groups simplify call routing by directing calls based on criteria such as language, technical expertise, or department. By routing calls to a group rather than an individual, you help ensure that someone is available to answer, improving responsiveness and making call handling more efficient for teams.
- Selecting Groups allows you to view and filter information related to calls handled by those groups in your dashboard.
Select IVRs in your "Dashboard Access"
An IVR (Interactive Voice Response) is the automated phone menu that callers interact with (Press 1 for Sales; Press 2 for Support; Press 3 for Billing)
IVRs help route callers to the appropriate destination based on their selections.
Selecting IVRs allows you to view and filter information related to calls that pass through those IVRs in your dashboard.
2. Select a user role
From the Dashboard Access section, you can opt not to grant any rights, or you can select one of the following four roles based on the user's responsibilities.
Admin: This is the most important role. If you assign this role to a user, they will have full access to the Dashboard with no restrictions. Only the superadministrator can grant this role access to another user. Additionally, it's important to note that an administrator cannot modify the access of another administrator; it must be done by the superadministrator.
Supervisor: Assign this role to users who need to monitor team performance. If you assign this role to a user, this user will only have access to the "Activity", "Logs," "Campaigns" and "Analytics" pages. They will also only have access to data for groups/IVRs authorised by the administrator.
Supervisor access rights pages options: Activity, Logs, Analytics, Campaigns, Task management
Accountant: Assign this role for financial and billing management. If you assign this role to a user, this user will only have access to the "Credits and billing" page to add credits and download invoices.
Technical: Assign this role for system configuration and setup. If you assign this role to a user, they will only have access to the "Configuration," "Developer," and "Integrations" pages, allowing them to create IVRs, users, groups, and numbers.
Technical access rights pages options: Users, Numbers, IVRs, and Audio conferences, Call tags, Snoozes, Blocked numbers, Contacts, Dev, Integrations, Actions logs, Brands and Other
