Local Presence allows you to automatically select local phone numbers when making calls, which increases your connection rates by displaying familiar, reliable numbers to recipients. In this guide, you’ll learn how to activate and utilize this feature to enhance your team's outbound sales communications.
Prerequisites
- You must have a Ringover Advanced account to use this feature.
- It must be activated by an administrator or technician in Ringover.
- It applies only to outgoing calls (SMS services are not supported on local number bundles).
Activating local presence
1. Configure user permissions
Administrators must grant the correct permissions before users can select local outbound numbers.
- Go to the Users section on your Ringover Dashboard.
- Search for the user you want to configure and click on Edit.
- Go to the Permissions section.
- Enable the "Edit Caller ID" option.
When configuring the "Edit Caller ID" setting, you can choose from several alternatives depending on your team's needs:
- Only allow IVR numbers that the user is assigned to: Limits the user's caller ID to outgoing lines from the switchboards they belong to.
- Allow all IVR numbers: Permits the user to select any company switchboard number as their caller ID.
- Only direct numbers: Restricts the user to displaying their personal direct numbers only.
- Select numbers from list: Allows you to manually curate the exact list of numbers this user can choose from.
- Enable the "Use the Local presence" option in the calls section.
- Manage your number list, if needed.
2. Select local presence on your dialer
Once permission is granted, agents can easily enable this feature directly from their web app interface.
- Open the Ringover dialer.
- Click on the outbound call number displayed on your dialer.
- Select "Local presence".
The dialer automatically selects the closest number to your prospect's location from your list. For added precision, you can acquire the "Local number bundles" add-on to get 100 numbers from the top 100 cities in the United States.
3. Optimize your IVR with call history
Configure your switchboard so that if a prospect decides to call back, they are routed directly to the last agent they spoke to.
- Go to the Settings > IVR section on your Ringover dashboard and select the IVR you want to edit.
- Click on the scenario you want to modify.
- Go to the "Forward calls" section, then choose "Cascading" or "At regular intervals" mode.
- Activate the "Machine learning (AI)" option.
- Choose whether to call "users based on call history" or a "one user".
- Select depending on who "last spoke to the caller".
- Choose the tracking period (one day, one week, or one month).
- Save your IVR.
🎉 You now know how to configure and use Local Presence and can dramatically increase your team's outbound connection rates!
