Audio conferences allow you to easily host multi-party calls with custom settings, wait music, and dedicated phone numbers. In this guide, you’ll learn how to create, configure, and troubleshoot your audio conference rooms.
Prerequisites
- To add a number for your audio conferences, you need an available landline phone number that has not yet been assigned.
- You must also have activated this free feature in your Marketplace.
Creating and managing audio conferences
1. Create and customize an audio conference
Start by setting up your room and adjusting the preferences to fit your team's needs.
Go to the Audio conferences page on your Ringover account.
Click on Create audio conference located at the top of the screen.
Assign a name to your audio conference.
Click on Create.
Once created, click on Edit next to the conference to customize it according to your preferences.
General Settings
Name : Audio conference's name
User access code: Determines if an access code will be required when joining the audio conference, if enabled, add the code.
Max. number of participants: The maximum number of people who will be accepted in the room.
Entry beep: A sound played when a person joins the conference to notify the remaining participants.
Exit beep : A sound played when a person leaves the conference to notify the remaining participants.
Greeting music: A recorded message played when a participant joins (used to welcome callers or provide basic rules).
Hold music: A melody played while participants wait for the conference to start.
Administrator Settings
Add admin: Enable this option to add an admin in the conference call.
Admin access code: Set a dedicated PIN code that administrators must enter to join with host privileges.
Wait for admin: If enabled, the conference will not start until at least one admin is present.
Mute all participants: If enabled, only the administrator will be able to speak.
2. Assign a number to an audio conference call
You can assign a dedicated phone number to your room using two different methods.
Option 1: From the audio conferences page
Click on the add number button next to your created audio conference.
Select your available number (or order a new one if you don't have any available).
Click on the three little dots on the right to remove the number, add a label, or get a click2call link.
Option 2: From the numbers page
Go to the numbers page (ensure you have at least one available number).
Click on assign number.
Choose assign to audio conference.
Select the specific audio conference concerned.
3. Join a conference or create a multi-party call
Join an Audio Conference
Call the assigned conference number.
Enter the access code when prompted.
Create multi-party conference calls
When you're already on a standard call and want to add another participant:
Click the Call button located below the microphone icon.
Generate a double call or create a three-way conference call.
4. Troubleshoot audio conferences
If you experience issues, check the following scenarios to resolve them.
Configuration Errors
Ensure your web browser is up to date.
Clear your browser cache.
Restart the configuration process.
If issues persist, contact customer support with specific details about the error.
Stuck in a Greeting Loop
Double-check that you are entering the access codes correctly.
Verify your conference settings in the Ringover Dashboard's Audio Conferences page.
Remember not to include the hash (#) symbol when entering access codes.
