It may sometimes be necessary to delete a user, whether due to a change in role, an employee leaving the company, or for security reasons.
Below are the steps to follow to manage this process on Ringover:

Steps to delete a user
1. 💻 Go to Dashboard > Settings > Users .
2. Search for and select the relevant user.
3. Click on "Edit".
4. At the bottom of the user settings page, click on "Delete".
5. A pop-up will appear offering two distinct options: Archive or Delete the user.
Option 1: Archive the user
This option is ideal if you wish to temporarily deactivate the account without losing historical information. User data is retained for 1 year. The user’s access to the platform is blocked, but you retain access to their call history. The licence becomes immediately available to be reassigned to another team member.
Option 2: Delete the user and their data
This option results in immediate and permanent deletion. You will permanently lose call transcriptions, call recordings, as well as SMS and MMS content. However, you will still have access to the call history (call log). The licence is released for new use.
💡 Licence management and recommendations
- Once the user is deleted or archived, their licence can be reassigned to a new user at no additional cost.
- If you choose permanent deletion, remember to manually download any important recordings beforehand. You can also automate this process by integrating Ringover with third-party services such as Dropbox, Google Drive, or AWS S3.
- To stop being billed for an unused licence, you must submit a request by email to success@ringover.com with 3 months’ notice. If you are under contract, specific conditions may apply.
Steps to delete a licence on Ringover
If you do not wish to reassign the released licence and want to stop the associated billing:
1. Go to Dashboard > Billing
2. In the "Credits & Licences" section, click on the red bin icon next to the remaining licence to permanently delete it.
