Super Admin/Admins can establish a set of rules that will automatically push new contacts into Cadence from Sellsy. That means a newly created lead can be automatically added or imported to a specific cadence using the capabilities of Advanced Workflow.
Prerequisites
- You are connected as a Super Admin/Admin in Cadence.
- Sellsy is connected.
- Sellsy fields are mapped.
Getting started with Advanced Workflows
Step 1: Go to the Settings page > General Settings > Scroll down to the Workflow Section.
Step 2: Add Workflow - Now click on the Add Workflow button, then select Advanced Workflow from the dropdown.
Step 3: Workflow Name - Give your workflow a name.
Step 4: Choose the default trigger from here. You have to choose from:
- When a contact is added to the org
Contact will be automatically imported into the selected cadence, and it will be updated in the present cadence when they are added to Sellsy. Their updates will match the rules that you established in the workflow.
- When a contact is updated
When a person is updated in Sellsy and the updates match the rules that you have defined in the workflow, then this contact will be imported automatically into the chosen Cadence.
Step 5: In the next step, you have to select the condition. There are three types of fields available. If a field has a “Contact” label, it means it is a contact-related Sellsy field. On the other hand, if a field has a "company" label, it means that it is a company-related Sellsy field, and if the field has an “owner” label, it is from the Sellsy User field.
- For example, in the given picture: First Name is Contact Sellsy person page fields.
- Latitude belongs to the company.
- ID is related to owner fields.
Step 6: Adding Conditions- Here, you can make your set of rules/conditions and give a value to be checked. If the conditions are satisfied, it will perform the final action of the workflow. For example, according to the below picture, the given condition is that if a contact’s First name equals “A” and the Last name equals “B," then the condition will be satisfied. Now it will move forward to perform the last action. You can restrict the extent of the search by making it case-sensitive.
Step 7: Select a Cadence - Select any Cadence where you wish the lead/contact to be imported. You can choose from Person, Group and, Company.
Step 8: Add a new rule - Select the Add new rule button when you are done adding conditions. If all the conditions of the workflow are satisfied, then it will add the person to the selected cadence.
Step 9: Once the new rule has been created, the advanced workflow is ready to use. By enabling or disabling the button on the right-hand side of the newly constructed advanced workflow, you may now activate and deactivate the specific advanced workflow.
Case 1: Enabling the button If this button is toggled on, the specified advanced workflow is active and will function.
Cade 2: Disabling the button - This advanced workflow is not active and will not function if this button is toggled off.
Understanding Advanced Workflow with an example
Let's now go over the sample to better grasp how Sellsy's advanced workflow functions.
- In this particular workflow, we have taken When a contact is added to org.
- In the field of condition, we have taken Email, operator Includes, and value @d and selected the logic And
- Next up we have added another condition Position, operator Equal, and value Intern.
- Again we have added another condition Civility, operator Equal, and value Mr.
- Added the And logic with another condition.
- Now in other words this means the chosen contact will be imported to the selected cadence if it has an email address that contains @d, is employed as an intern, acknowledges people with the title of Mr.
Frequently Asked Questions
- Q. What happens if the contact is updated with some changes but does not follow the selected rule?
Ans: In this scenario, if a contact is updated with certain modifications but still needs to adhere to the chosen rule, the contact won't import in the cadence that was chosen, but the updated changes will be made.
- Q. What happens if the contact is updated and simultaneously applies the chosen rule?
Ans: In this situation, the contact will not only be updated but also imported into the chosen Cadence.
- Q. How many sub-nodes can we add into one condition?
Ans: As shown in the below picture as well, We can add a maximum of 3 sub-nodes into a single condition. To add a sub-condition, you can click on + icon which is beside delete icon.
- Q. Where can a lead owner find his SellsyUser ID?
Ans: Login to your Sellsy account. You can copy your Sellsy User ID from the URL, it is mentioned at the last just after sellsy.com/xxxxxx. For example in the below screenshot, the Sellsy User ID is staff/268XXX
- Q. How does the duplicate button work?
Ans: The duplicate button makes it possible to apply the same rule to a different advanced process. If the rule is complex, you can copy it and use it in yet another advanced workflow.
